well-designed and secure electronic document control system has become an important feature for companies invoking quality processes. Such systems should provide a safe and secure place for documents as well as a means for circulating only the current document revision while keeping old revisions on file. They also need to allow users to create new revisions, route them for approval and inform other users when a new revision supersedes the document they've been using. If your company's quality system is ISO 9000-compliant, your document control system should also be easy to audit. To help you find a system that meets these guidelines, Quality Digest presents our fourth annual Document Control Software Buyers Guide.
This guide lists companies that specialize in document control software and provides some details about specific products. Most of the products are for organizationwide
document control, but some apply to specific segments of an organization's document control process. To narrow your search for the software that will best meet your company's needs, make sure you
have a thorough understanding of your documentation department's current document control procedures and your company's computing environment. Once you have identified several
vendors whose products seem well suited to your needs, ask each for a functional demonstration package. You won't be sure that a document control package can do what you want it to, in a way
that's easiest for you, unless you try it out with your documents and procedures. Sampling even just a few packages is a time-consuming process; plan on at least one week per package to load the
software, learn its basic operation and run some tests. If you get stuck, call for help; most software companies have customer support technicians who can walk you through a program's basic
